Covid 19 - Karstens Reopening Update

Karstens reopening and maximum number of participants per room and  Covid 19 measures in place to ensure the safety of our guests and Karstens team.

We are looking forward to welcome you back now that State governments have allowed to reopen our venues. As the maximum number of participants varies for each state we have compiled the below information for our readers to assist with the maximum number of people allowed for each conference room per State. The maximum number includes the presenter or trainer. We hope this will assist you to start planning any future meetings and events.

 

Currently we understand that the below time table  for opening of Karstens Venues applies: 
  • Victoria, stage 3 restrictions still in place, 20 maximum for each space easing to 50 people on June 22
  • New South Wales, currently up to 50 people and 100 people TBC
  • Queensland, from Friday 5th June, up to 20 people in each space easing to 100 people from June 10
  • Western Australia, up to 100 people, with a maximum of 300 per venue
  • South Australia, up to 20 people or 80 people over 4 spaces and 100 people TBC
  •  New Zealand - Auckland, up to 100 people per venue

Please find below our Covid 19 Venue plan which includes all measures and requirements as set out by the state/federal governments.

 

Conference Centre Employees, Attendees and Facilitators

  • All Conference Employees have undertaken the relevant Covid-19 training to ensure a full understanding and ensure requirements are adhered too at all times.
  • Prior to visitors attending Karstens Venues, all names and contact numbers are to be provided to the venue from booker should contact tracing be required.
  • Upon entry, temperature checks can be organised by the booker for each person entering the venue. Should any person have a temperature over 37.5°C, the venue will ask this person to return home and seek further medical advice.

Social Distancing

  • As per relevant government guidelines, social distancing will be implemented in all training rooms and breakout areas. Appropriate signage has been placed outside each conference room advising the maximum number of people allowed within each enclosed space.
  • Seating capacities and floor plans will be reviewed on an event by event basis to ensure appropriate physical distancing applies and follows regulatory requirements
  • Site inspections will be done virtually where possible to limit the number of patrons within the venue

Conference Centre Meeting Rooms and Breakout Spaces

  • All tables, chairs and touch points (i.e. light switches, remotes) within the conference room are sanitized and cleaned prior to the commencement of each event. In the event that the booking has multiple sessions, the operation team will clean and sanitize before new participants arrive.
  • All materials provided by Karstens (i.e. Conference Pads, Pens, Mints, Water Bottles, Glasses) will be changed over after each session, and sanitized where required.
  • Should conference services or AV/IT be called to support the meeting, any items touched will be sanitized before handing back to the client.
  • To reduce the risk of overcrowding within the breakout areas, all conference sessions will be asked to remain in their conference rooms at all times, with catering sessions staggered to reduce the number of patrons within the breakout areas at any one time. Toilet and coffee breaks to be done as quickly as possible, guests to return to their conference rooms immediately after breaks.
  • After each break time, all furniture and surfaces within the breakout lounges will be cleaned and/or sanitized.
  • Hand sanitizer is available for guests upon entry to the conference facility and in catering areas.

Catering

  • All catering sessions will be plated individually for all attendees for quick access, and to reduce crowding around catering stations.
  • All beverages to be prepared prior to service, and topped up by staff as required.
  • Where possible, catering stations will be placed at the back of the conference room to limit the number of attendees in common areas/breakout spaces.
  • Each conference group(s) will be asked to stagger the catering sessions to reduce overcrowding, and allow for social distancing with other conference groups using the conference facilities
  • All Food & Beverage staff will be provided and wear food safe gloves when clearing and setting up catering stations.

Managing an outbreak of Covid-19

  • In the event a conference attendee shows signs of Covid-19, they will be asked to leave the conference facility and Management will advise the necessary government agencies, and follow their instructions accordingly.
  • In the event Karstens is advised from health officials that an attendee whom attended our facility within the past 2 weeks has tested positive to Covid-19, contact details will be provided to them so contact tracing can occur, and the facility will be cleaned according to the Government advice.
